Title: Director, Admissions

Department: Admissions

Reports To: Director of Enrollment Management

Hours: Full Time

Summary:

The Director of Admissions, reporting to the University Director of Enrollment Management, will recruit for and administer an admissions process for all programs associated with the campus, satellite programs, as well as programs offered at other campus locations, while maintaining a commitment to quality customer service.  S/he will work cooperatively with the Director of Marketing to implement the admissions aspects of Alliant’s marketing plan. S/he must possess excellent written and verbal communication skills and relate well to both prospective and continuing students, as well as faculty, administration, staff and the President's Office.  S/he must possess excellent organizational skills, the ability to multi task and follow‑through, and an aptitude for detail‑oriented tasks.

 

The successful candidate will be dedicated to providing high quality service to all constituencies of Alliant International University. S/he will exhibit the highest professional standards and ethical principles and will be committed to the tenets of Alliant University’s Mission and Vision.

 

RESPONSIBILITIES:

 

Recruitment

 

·       Provide counseling, advice and overall customer service to potential applicants and accepted students via telephone, e-mail and campus visits.

  • Extensive telemarketing and telecounseling of prospective students.

·       Coordinate monthly Open Houses with faculty and/or students presenters, on all campus and satellite programs.  Provide literature on other campuses programs.

·       Review and provide suggestions and feedback on the Alliant web site.

·       Attend Grad Fairs, Conventions and Conferences.

·       Contact annually Psi Chi Clubs and/or other campus based organization to offer presentations

·       Create annually a directory of continuing student phone numbers, by program, to be given to potential applicants.

·       Conduct follow-up with inquiries and applicants.

·       Network w/ other recruiters.

·       Contact annually Career Centers and/or Department Chairs to offer presentation.

·       Monitor system to follow up with inquires.

·       Ask faculty annually to write a description of their program and a description of the students they would like to enroll.

 

Admissions Processing

 

·       Receive and process admissions applications.

·       Coordinate reading and interview schedules with faculty and/or program directors

·       Invite admissions finalists for interview.

·       Provide on-going communication with applicants regarding their status in the admissions process.

·       Move admissions applications within system.

·       Prepare acceptance packets, coordinated w/ other departments, administrators and faculty.

·       Work with faculty and/or program director to create reading and interview evaluation forms, and admissions processing systems for each program

·       Approve and monitor deferred enrollments.

·       Monitor applicants with Alternate Status.

 

Student Retention

 

·       Call to personally congratulate students on their acceptance as soon as they complete a successful admissions interview, and are accepted into the program.

·       Maintain on-going communication with applicants after acceptance, through Orientation.

·       Provide advice and problem-solving assistance with students who become uncertain about career goals, and financial concerns.  Provide information about other programs that may be available at the campus, as well as at other Alliant campuses.

 

Budget Responsibility

 

·       Monitor all expenses; open house expenses; student assistant hours.

 

Technology

 

·       Create, maintain and distribute admissions statistic reports and lists.

·       Maintain data base in CARS.

·       Learn new software programs as necessary.

·       Stay current  w/ Microsoft Office, Cognos.


 

 

Supervision

 

  • Supervise clerical assistants and student assistants who will: receive and distribute mail, direct mailings, leads data entry, prepare and mail admissions information packets, prepare merged thank-you letters to applicants who attend Open Houses and Grad Fairs, greet admissions interviewees, provide campus tours to applicants, receive all admissions mailbox voice mail messages and return calls, answer general admissions telephone line, duplication, assist in admissions data entry.

·       Complete annual performance evaluations on employees.

 

Meetings

 

·       Participate in conference calls.

·       Attend various campus faculty/administrative meetings, as necessary.

 

Other duties as assigned by the Director Campus Student Services.

 

 



Requirements:

Education:    B.A./B.S. or equivalent combination of education and relevant experience.

 

Experience:  Five years experience in higher education admissions and recruitment.

 

Skills:           Oral/written communication, interpersonal, organizational/planning, supervisory, analytical and project management skills.

 

Technical:     Proficiency with Microsoft Office Suite applications and experience with integrated business software systems in higher relational databases; and admissions tracking software.

 

 



Status: Full-time, Exempt
