Title: Assistant Registrar

Reports To: Director of Campus and Student Services (primary), University Registrar (secondary)

Summary: The Assistant Registrar is responsible for the day-to-day operation and supervision of the Registrar’s Office. S/he is responsible for the maintenance and integrity of all campus student academic records, and must ensure adherence to University policies and procedures, as well as state and federal regulations pertaining to student records management. The Assistant Registrar will serve in a system liaison role with campus academic leadership to provide scheduling and report information as requested. The successful candidate will be dedicated to providing high quality service to all constituencies of Alliant International University. S/he will exhibit the highest professional standards and ethical principles and will be committed to the tenets of Alliant University’s Mission and Vision. DUTIES AND RESPONSIBILITIES: ASSISTANT REGISTRAR: - Plan, coordinate and implement all phases of the registration process for all programs. Work with campus program directors, administration, and system-wide university registrar to review and revise procedures to perform registrar duties and responsibilities effectively and efficiently.
- Supervise maintenance of complete and accurate academic records for each student, including transcripts and academic files, ensuring safety and privacy of records in compliance with state and federal guidelines. Responsible for processing of grades and evaluations for current students.
- Supervise registrar office functions, including registration, add/drop, transcripts, deferments, leave of absence, enrollment, degree verifications, graduation clearance, and subpoena processing.
- Advise both continuing and incoming students of registration policies and procedures. Verify students’ completion of requirements at appropriate points in their programs and communicate as needed with Academic Program Directors.
5. Generate reports based upon Registrar Office data (e.g., FTE, overall headcount, emphasis area enrollment, graduating student counts) provide monthly reports to program leadership and campus student services staff. Assist with enrollment monitoring and various reporting responsibilities such as IPEDS, VA certification, and the National Student Loan Clearinghouse submission. 6. Coordinate with academic Program Directors and assistants to ensure timely completion of course schedules. Supervise compilation and maintenance of official listings of all courses offered each term. 7. Assist in identifying students for review by the appropriate campus satisfactory academic progress committee. 8. Coordinate with the University Registrar to maintain and update campus registrar information on AIU registrar webpage. - Other duties as assigned by the Director or University Registrar.

Excellent organizational skills sufficient to set priorities and complete assignments in a timely manner. Outstanding oral and written communication skills including the ability to communicate accurately matters of policy decisions as well as instructions. Excellent interpersonal skills to interact with a wide variety of people, both in person (one on one and in groups), and on the phone. Excellent analytical, problem solving, and decision-making skills. Ability to maintain confidential information. Demonstrated ability to work independently as well as in a team effort. Capability to work with interruptions and under strict deadline pressures. | | Management Skills: | Ability to supervise people and coordinate task completion. | | Supervises: | Student Employees. | | Technical Skills: | Knowledge of college student registration, record keeping, and graduation requirements; ability to manage complex, multifaceted systems. Excellent record keeping skills with strong attention to detail. | | Technology Skills: | Excellent computer skills in management information systems and word processing. Experience in CARS integrated database or other applicable database, Microsoft Office including Microsoft Word and Excel); record maintenance experience. |
