Title: Administrative Assistant

Department: Student Services

Reports To: Director of Campus and Student Services

Hours: 10 a.m. – 6 p.m.

Summary:

The Administrative Assistant, under the direction of the Director of Campus and Student Services, is responsible for answering the main phone line, routing telephone calls, greeting visitors, maintaining campus supplies,  maintaining student rosters, updating mailbox information, and working with the Director to assure timely budget reporting for credit card reconciliation.  The individual will also perform a variety of basic administrative tasks which include typing, scheduling of rooms and equipment, filing and operating office equipment.

 

The successful candidate will be dedicated to providing high quality service to all constituencies of Alliant University. S/he will exhibit the highest professional standards and ethical principles and will be committed to the tenets of Alliant University’s Mission and Vision.

 

DUTIES AND RESPONSIBILITIES:

 

1. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

2. Receives messages from voicemail and forwards to the appropriate party.

3. Answers questions about Alliant International University and provides callers with the information.  


4. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

5. Works with the Director of Campus and Student Services to schedule classrooms, conference rooms, and equipment.

 

6.  Works with the Director to assure that Student Service questions for Financial Aid, Registration, and general academic advising are addressed in a timely manner.

 

7.  Updates and maintains student and faculty mailboxes.

 

8.  Assists the Director with coordination and implementation of campus events and special programs, ie Orientation, Constitution Day, Convocation, and Graduation.

 

9.  Manages ordering and maintaining office supplies for facility. 

 

10.  Works with the Director to address facility issues in a timely manner.

 

11.  Oversees scheduling and supervision of Student Employees.

 

12.   Performs other administrative tasks as assigned such as typing, filing and copying.

 



Requirements:

Education:

 

High School Diploma or equivalent

Experience:

 

Minimum of 5 years of office management experience, front desk experience preferred. Experience in balancing clerical work, incoming calls, and requests. Experience working in a customer-focused environment. Excellent communication (verbal and listening) on phone and in person.

Technology Skills:

 

Excellent computer skills in management information systems and word processing.  Experience in CARS integrated database, Microsoft Office including Microsoft Word and Excel); record maintenance experience.

The individual must possess a polite service oriented attitude and be a dependable, productive, high quality, team player.
