Title: Program Assistant, Marital and Family Therapy (MFT) Program

Department: California School of Professional Psychology

Reports To: Program Director (MFT) or designee

Hours: 20 hrs/week

Summary:

The Program Assistant, under the general direction of the MFT Program Director, provides administrative and clerical support to the MFT program. The Program Assistant provides supervision of student assistants and oversees the administration of the expenditures of the Sacramento MFT Program. S/he makes direct contact with MFT faculty and students, Alliant system personnel, and other organizations. S/he must present a positive image for the institution at all times and work effectively with a wide variety of people and organizations.

DUTIES AND RESPONSIBILITIES:

 

  1. Provide administrative and clerical support to the offices of the MFT Site Director; oversee personnel, including work-study assistants, as needed.

 

  1. Support all management functions within prescribed rules and guidelines, including processing of expenditures for the MFT program, assisting with the Director’s correspondence and reports, and creating and updating Program forms. Create, update, manage and document the office’s work flow procedures. Maintain the organization of the program offices’ operational documentation for historical and access/retrieval purposes.

 

  1. Prepare and /or oversee the preparation of confidential materials, including adjunct faculty contracts. Organize and manage the MFT Program faculty, student and program files.

 

  1. Serve as liaison to Adjunct faculty and Program Director. Maintain and update syllabus and Adjunct contract information.

 

  1. Create and distribute memos, forms, letters, etc. to faculty, staff and students. Disseminate information pertaining to the MFT Program to faculty, students and the campus administrators and, as may be applicable, the community-at-large.

 

  1. Maintain appropriate logs, files, and databases. Assure that all data are accurate and up-to-date. Collect and formulate data for yearly accreditation reports and self-studies. Gather information, tabulate/analyze and document various student survey results.

 

  1. Acquire and use comprehensive and detailed knowledge of curricula and training requirements for MFT program in Sacramento, in order to provide accurate and reliable information to students and adjunct faculty regarding course requirements, registration, scheduling, etc.

 

  1. Order and maintain supplies. Maintain and update department bulletin board, including the posting of dissertation oral presentations, and oversee the maintenance of the student resources. Answer phone lines, distribute mail and messages, and prepare outgoing materials for mailing.

 

  1. Maintain student’s dissertation files. Reserve rooms and equipment for the student’s oral presentations. Collect dissertation fees to be distributed to appropriate offices/organizations and prepare dissertation copies to be sent to bindery. Send the bound volumes to the student upon delivery.

 

  1. Manage and maintain the documentation of MFT students’ issues such as: petitions to waive administrative or academic regulations, course challenge exam, modified curriculum, requests for transfer credit, academic advisor assignments, participation in annual program assemblies, and facilitating the prompt resolution of students’ problems and/or concerns.

 

  1. Schedule appointments and make meeting arrangements; reserve meeting rooms, take minutes and make arrangements for invited speakers as required. Arrange and/or oversee plans for special programs and events sponsored by the MFT Program.

 

  1. As needed meet with faculty and campus administrators to facilitate their and the program’s needs and goals.

 

  1. Manage the process and timely complete “other” program-related ad hoc tasks as may be assigned by the Program Director.

 

 



Requirements:

Education:

College degree in relevant area (e.g., business administration) preferred

 

 

Experience:

 

Two plus year’s office assistant experience would serve as a substitute for degree

Student Assistant(s)

 

Technical Skills:

Ability to quickly master complex software needed to execute job functions.

 

 

Technology Skills:

 

Proficiency with Windows, Microsoft Word, Outlook, Excel, Access, and PowerPoint, and ability to become proficient with Alliant systems such as CARS. Proficiency in data entry, and web navigation and implementation skills. Typing minimum 40wpm

 

Other Requirements:

Strong proofreading and grammar skills. Ability to quickly master complex software needed to execute job functions.
