Title: Financial Aid Administrative Assistant

Department: Financial Aid

Reports To: Financial Aid Counselor

Hours: 8:30 – 5:00

Summary:

The Financial Aid Administrative Assistant, under the general direction of the Financial Aid Counselor performs a variety of general administrative support duties for Financial Aid. S/he has strong abilities to organize and plan work and is capable of handling multiple assignments and prioritizes them in a constantly changing work environment. S/he takes initiative and demonstrates ability to effectively problem-solve.

 

S/he also prepares correspondence, reports and documents with an attention to detail. S/he must have the ability to handle sensitive information necessitating considerable use of tact, discretion and judgment and exhibit a high level of professionalism.

 

The successful candidate will be dedicated to providing high quality service to all constituencies of Alliant University. S/he will exhibit the highest professional standards and ethical principles and will be committed to the tenets of Alliant University’s Mission and Vision.

 

 

DUTIES AND RESPONSIBILITIES:

 

    Student Services:

 

1.     Provide general clerical support to the Financial Aid Counselor including answering phones, routing calls accordingly, and managing all other “walk-in” contact with students, faculty, staff, administrators and the public;

 

2.     Organize and maintain filing systems for the Financial Aid Counselor;

 

3.     Draft routine correspondence for the Financial Aid Counselor;

 

4.     Supervision of Work Study Students

 

5.     Process various reports used by the Office of Financial Aid

 

6.     Participates in open house and other Financial Aid Events as needed

 

 

7.     Perform other duties as required and assigned by the Financial Aid Counselor

Requirements:

Education:

 

Associate’s degree or equivalent combination of education and relevant experience.

Professional Designation:

 

Experience:

 

Minimum of two years administrative support.

Technical Skills:

Excellent oral and written communication skills. Demonstrated diplomacy in dealings with others, including strong interpersonal skills with a “customer service” orientation and the ability to work in a dynamic environment. Attention to detail and exceptional organizational and time management skills. Ability to adapt to a fast-paced environment. Ability to work efficiently under pressure, juggle tasks and meet deadlines. Capacity to prioritize multiple projects and adjust workload accordingly. Problem solving and judgment capabilities. Willingness to learn and adapt to new responsibilities. Ability to operate office equipment. Ability to coordinate and oversee office functions. Ability to be a team player.

 

Technology Skills:

 

Working knowledge of Microsoft Office is critical.
