Title: Academic Advisor
Department: Student Services
Reports To: Director, Campus Student Services
Hours: 9:00 a.m. – 5:00 p.m.
Summary: The Academic Advisor, under the general direction of the Director of Campus Student Services, provides educational, vocational, and personal counseling to current and potential students participates in the organization and delivery of student services and provides cross-functional services in the areas of administrative, academic and faculty support. The successful candidate will be dedicated to providing high quality service to all constituencies of Alliant University. S/he will exhibit the highest professional standards and ethical principles and will be committed to the tenets of Alliant University’s Mission and Vision. DUTIES AND RESPONSIBILITIES: Act as Primary Academic Advisor. - Act as the first point of contact for questions pertaining to program requirements, registration issues and interfacing with other offices of the University.
- Develop individualized Program Plans for all students to project course enrollments and curriculum necessary for degree completion.
- Conduct on-going academic monitoring, planning and intervention techniques as they pertain to student goals.
- Ensure current student registrations follow the individual’s student program plan and meet University guidelines.
- Assist students in making decisions relative to career choice and educational planning,
- Act as a resource for information on services or program features including, practicum, internships, doctoral/comprehensive exams, and dissertation.
- Review transcripts and process transfer credit for previous graduate level coursework.
- Process and assist individual student requests for special circumstances concerning degree completion, including, leaves of absences, course substitutions, exceptions to academic policy, add/drops, grade changes, and other academic requirements.
- Complete degree audits to ensure all requirements are being or have been met for degree completion.
- Develop effective working relationships with faculty members and conduct orientation and advisement sessions through classroom visitations.
- Collaborate each semester with Program Directors to create the Irvine course schedule.
- Assist with campus special events including open house, orientation and program specific events
Manage the Registration Process. - Student academic record maintenance
- Coordinate the processing of individual student registration requests including add/drop, withdrawal, and leave of absence.
- Provide and collect all forms required for various functions in the registrar’s office
- Approve and process registration documents, and forward copies to the appropriate department.
- Notify students of any registration holds, and process forms once the hold is removed.
- Call all students who have not registered and remind them to register
- Update course additions, change, and cancellations in the system
- Notify students of course changes and/or cancellations.
- Print class/grade rosters and disseminate to appropriate department
- Create program enrollments for new students
- Monitor and collect syllabi, class rosters and class sign-in sheets to ensure that all students are in appropriate classes.
- Coordinate with faculty on development of master schedule
- Assign classrooms
Provide Administrative Support. - Assist students in accessing University website programs including Student Portal, Blackboard, Student Information System and Email.
- Supervise student workers who are responsible for reception, telephones, filing and other academic and clerical support activities.
- Provide academic support to Admissions Department.
- Copy all pertinent documents and forms for current and new students for their file and forward original documents to the appropriate department.

Requirements: | Education: | Masters of Arts Degree | | Experience: | Two or more years experience in a customer service related field within higher education is preferred. | | Supervises: | 1-2 Work Study Students | | Technical Skills: | Strong interpersonal and customer service skills; Ability to meet expectations in a fast paced and dynamic, customer oriented environment; Excellent oral and written communication skills; Ability to analyze and interpret date and make independent decisions. | | Technology Skills: | Knowledge of Microsoft Office Suite | | Other Requirements: | Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background; Proven ability to work effectively as a team player; Highly motivated, focused and results oriented; Must be able to attend functions off campus and work weekends/evenings as required. |
